Job Description

OceanaGold is seeking a highly motivated Executive Assistant to provide strategic administrative support by performing clerical functions such as diary management, arranging and scheduling meetings, arranging international and domestic travel, processing purchase orders / invoices and expenses, overseeing filing, overseeing office admin supplies, arranging regular and ad hoc events, supplies and catering.  

Key tasks and responsibilities:

  • Provide Executive Assistant (EA) support to EVP Chief Sustainability Officer and EVP Chief Operating Officer APAC, anticipating needs and staying abreast of EVP priorities and preferences.
  • Proactively and strategically manage complex and competing EVP diaries across multi-time zones to arrange and schedule meetings.
  • Anticipate, coordinate and manage domestic/international travel bookings and related diary entries.
  • Work closely with all company Executive Assistants regarding site and office visits, travel logistics and diary management. Support other Brisbane-based EA with office management.
  • Process purchase orders and invoicing, concur entry and manual expenses. Work closely with the corporate accounts team to ensure timely payment.
  • Provide administrative support (primarily travel and invoices) to the asset management, continuous improvement, and sustainability function teams.
  • Arrange venues, equipment and catering for workshops, conferences, and manage related event budgets and expenses.  Support the smooth and effective running of internal events and meetings.
  • Champion the organisation values, and a collegiate team environment and culture in the Brisbane office
  • Adherence to company systems and processes and management of the Brisbane office.

Qualifications

The successful candidate will have:

  • Formal qualifications in business administration are highly desirable.
  • High level of proficiency with Microsoft Office including Outlook, Word, Excel, PowerPoint and Teams
  • Minimum of 5 years’ experience supporting Executive level within a multinational or global company. Natural resources, infrastructure or construction industry experience is highly desirable.
  • High level of confidentiality, ability to work autonomously and contribute to the team, able to use initiative, problem-solving and critical thinking skills and work to the values of OceanaGold
